How Much Do Managed IT Services Cost?

What drives the monthly number, and how to compare two quotes fairly.

Managed IT is usually priced as a flat monthly fee, most often per user or per device, and the number depends on what is included, how many people and locations you have, and how much security and compliance your business requires. Two quotes that look far apart are often covering very different scopes.

The common pricing models

  • Per user per month. The most common model today. One price covers each employee and the devices they use. Simple to budget as you hire.
  • Per device per month. Priced by workstation, server and network device. Common in environments with shared machines or lots of equipment per person.
  • Tiered plans. A base plan plus add-ons such as advanced security, compliance support or after-hours on-site coverage.
  • Project work. Migrations, office moves and implementations are typically scoped and quoted separately from the monthly agreement.

What moves the price up or down

  • Number of users, devices, servers and locations.
  • Whether security tooling (EDR, MDR, SOC, email filtering, training) is included or extra.
  • Compliance requirements such as PCI, CMMC or cyber insurance controls.
  • On-site coverage expectations and support hours.
  • Whether strategic services like a vCIO and quarterly reviews are included.
  • The condition of your environment when you start. Old hardware and unlicensed software cost more to bring to standard.

How to compare quotes

Line up the inclusions, not the totals. Use what is included in managed IT services as a checklist and ask each provider to mark what is in, what is extra and what is not offered. A lower monthly number with security and backups as add-ons is often the more expensive option once you add what you actually need.
