Does Microsoft 365 Back Up Your Data?

Microsoft keeps the service running. Keeping your data recoverable is a different job.

Not in the way most people assume. Microsoft 365 is built to keep the service available and to protect against Microsoft's own failures, but retention of your deleted emails, files and accounts is limited, and Microsoft's terms place responsibility for backing up your data on you. A separate Microsoft 365 backup is the standard fix.

The shared responsibility model

Microsoft is responsible for the infrastructure: uptime, hardware, data center resilience. You are responsible for your data: what gets deleted, what gets overwritten, what an attacker or a departing employee does with it, and how long you need to keep it. Recycle bins and retention settings help, but they are not a backup.

Where the gaps are

  • Deletions. Deleted items and deleted users are recoverable for a limited window, then gone.
  • Overwrites and sync errors. A file corrupted by a bad sync or a ransomware-encrypted laptop syncs the damage up to OneDrive and SharePoint.
  • Malicious activity. A compromised admin account can purge mailboxes and SharePoint sites.
  • Long-term retention. Legal, regulatory and contractual retention needs often exceed default windows. See what is email archiving.
  • Point-in-time recovery. Restoring a whole SharePoint library to how it looked last Tuesday is not a native, simple operation.

What a Microsoft 365 backup adds

Independent, automated copies of Exchange mailboxes, OneDrive, SharePoint and Teams data, stored outside the tenant, with long retention and granular restore (one email, one file, one site, or everything). It applies the 3-2-1 backup rule to cloud data the same way you would to a server.

Retention policies are still useful

Microsoft's retention and litigation hold features are valuable for compliance and should be configured, but they live inside the same tenant and the same admin credentials. Backup is the copy that survives a problem with the tenant itself.
